Setup Zapier Integration

Zapier is a handy tool for integrating multiple apps without needing to know how to code or work with an API. Zapier can save you hours of time and energy, reducing administrative tasks with simple automation. This simple integration with your Showcase IDX account is one of the leading no-code software applications that can automate your processes, and it works with more than 3,000 apps!

Showcase IDX only supports outbound integrations at this time. You can sync your leads and messages from Showcase IDX to another application of your choice. Inbound to Showcase IDX is not supported.

Can I Connect My CRM?

Check if your preferred CRM or other application is available on Zapier. The app marketplace can be used to search for your app. If the app you want to connect to is not available on Zapier, unfortunately, you would not be able to connect Showcase IDX to that app in this case. Please contact your application's support to request they establish a connection to Zapier.

Connect Showcase IDX Account

  1. In your Zapier account, use the left sidebar to select Apps. Then from the Apps screen, click the blue +Add Connection button. 

  2. In the popup, you will then search for Showcase IDX. Click on the Showcase IDX option. There will be a popup where you will either log in to your account or if you are already logged in, it will ask you which website you would like to connect.

    Note that if you have more than 1 website, each website can be connected with its own unique Zaps.

  3. Once you have connected the app, you will see the new connection on the screen. You can edit the connection name if you would like so that it matches the website you're connecting it to.

  4. Do this same list of steps for each application you want to connect to Zapier.

Create a Zap

Use A Template

Visit our integrations page for a quick way to connect apps together. Simply search for the desired app that you want to connect Showcase IDX to. There are templates available that do a lot of the work for you.

Your preferred application may not be available on Zapier. Please contact their application support for confirmation. A template may also not be available for your specific app.

Create From Scratch

Alternatively, inside your Zapier account, you can click on the orange Create Zap button on the left side of the screen. These instructions detail creating a Zap from scratch

  1. On the following screen, you will see 2 steps. Click step 1 to select the trigger app. This will always be your Showcase IDX app. Search for Showcase IDX and select it.
  2. Choose the event you want to trigger.

    • New Message - Triggers the Zap whenever a new message is sent through the plugin. This could be through a contact form, CMA form, Ask A Question or Schedule a Tour forms, or the Friends & Family comment section.
    • New Lead - Triggers the Zap whenever a new lead is entered through the IDX on your site, or in the admin.
  3. Your Showcase IDX account should already be connected and have a checkmark next to which indicates a successful connection. Click continue and follow the prompts to test the connection.

    Note, it's a good idea to have a lead in your account, even if it's just a test lead so that the test can run successfully. If you need to create a lead, stop here and visit Adding Leads in the Lead Dashboard to add a new lead, then proceed with testing.
  4. To set up the Action step, you will first choose the app that you connected in the previous steps to which you want to send the Showcase IDX data. Follow the on-screen instructions to set up the action with the relevant data. This will vary depending on the app. You may wish to consult the app's customer support or documentation for instructions on how to do this.
  5. Test and verify that your zap works. If needed, address any errors and then turn your zap on!

Filtering Zaps

Admins can see all new leads in their IDX accounts, and also see new leads in their connect Zapier apps unless they decide to filter those from the zaps. 

"Assigned To"

To filter your zaps, use the "+" between your trigger and action and then select Filter on the right. You are setting up a condition for the Zap to continue to run. In this example, the zap will only run if a lead is assigned to a specific agent.

When filtering, you will want to use the "Assigned To" field in the first box and enter the user name into the last box exactly as it is in Showcase IDX.

Here is a real-life example without filtering:

  • User A, an admin, makes a zap that puts any new lead into her CRM
  • User B, a member, does the same thing
  • User C, a member, does the same thing
    • Lead 1 registers (Lead 1 gets assigned_to User B)
    • User A's zap acts on the new_lead event, causing Lead 1 to show up in her CRM, despite the lead not being assigned to them BECAUSE she is an admin and her zaps will always fire. 
    • User B's zap acts on that event as well, causing Lead 1 to show up in his CRM
    • User C's zap does not act at all, because the lead is not assigned_to them and they aren't an admin

In this example, the admin should set up a filter on her zap so that only new leads assigned to her go into her CRM. If she doesn't, she may think the lead was assigned to her when it was assigned to User B. The consumer may then have 2 agents reaching out at the same time, causing them confusion.

Buyer and Seller Leads

Let's say you wanted to push IDX leads to your CRM and have them labeled as a seller or a buyer. In Showcase IDX, leads who fill out a CMA form (the Market Value form) are automatically labeled as a sellers, but you want your CRM to pick this up too. In Zapier, you'll use the Message trigger, as this has all the fields you'll need.

Identify the field source as form:cma for sellers and form:contact for buyers. This example shows the filter for form:cma.
