Avoid Trial Delays: Complete Your HelloSign Document

  • Updated

We use HelloSign at Showcase IDX for our e-signature documents at sign up. HelloSign, owned by DropBox, is a similar program to RightSignature and DocuSign. As part of the onboarding process, every customer will be required to sign at least one document through HelloSign.

Tip

The email will be sent from noreply@hellosign.com. A reminder email will be sent on days 3 and 7.  It is important to sign the document as soon as possible.  Failure to sign the document will delay your trial beginning.

The HelloSign document will be the first document you and your broker (if applicable) will have to sign. Depending on your MLS, there may be an additional document that requires signature.

What Documents Need to be Signed

This includes one or all of the following items:

    1. Instructions Page
    2. IDX Authorization form from the MLS
    3. Cover Page to input additional information for Additional Portal process
    4. Showcase IDX Terms of Service

How Do I Know a Document Will be Sent to Me

When a customer enters our system, we send them a document specific to their MLS from HelloSign. HelloSign will send an email to each of the signers letting them know that a document is on their way, as shown below.

The developer will not be asked for a signature and would not be copied on these documents.

Who Signs First

Generally, the first signer in the sequence (which is typically the agent) will receive an email with a call to action inside that will load the document in a new screen. This may be represented by a blue "review & sign" button, as illustrated below. They'll be prompted to fill out the required fields in the form, and submit their signature.

Warning: The approval process is at a stand-still until the broker signs.

The Agent Signed, Who's Next?

The next signer, usually the broker, will receive a similar email and be prompted to complete their part of the document, and submit their signature.

Warning: The approval process is at a stand-still until the broker signs.

My HelloSign Document Indicated I Have An Additional Step

In some cases, the HelloSign document contains instructions for the agent to complete on their end. The documents should be carefully read and instructions carried out promptly to avoid onboarding delays. If the agent needs to take steps, the agent can expect a follow up email with the instructions to complete.

Everyone Has Signed, Now What?

Showcase Onboarding will receive the document and finalize it. From there, Showcase Onboarding will take over and follow the instructions specific to that MLS. Learn more about the different MLS categories and the estimated time for approval here.

I'm an Existing Customer- Do I Need to Sign?

For existing customers who wish to add another data feed to their account, or add an additional website to their account, we may need to follow MLS direction in how to proceed. The Showcase Support person you've been working with to add your new site or MLS feed will advise on the next steps.

Can I Just Use a PDF?

The e-signature documents must be completed in HelloSign. Showcase IDX will not accept a downloaded and signed PDF. This will only delay the process as we will instruct you to complete the document via HelloSign.
